A lead from a portal, the site or a board gets a real reply straight away, is asked the two or three things that decide whether a viewing is worth booking, and lands on the calendar. Nothing waits for the office to open.

Availability comes from the calendar the agent actually uses. Confirmations and reminders go out on their own, and a cancellation offers the slot to the next person who wanted it rather than leaving a hole in the day.

Every document a deal needs is tracked against the file, requested from whoever owes it, and escalated on a schedule. Nobody keeps a mental list of which solicitor is late with what.

A deal that has not moved, or a client who has not heard anything for a set number of days, produces an update instead of a phone call asking for one. The agent approves what goes out.

Enquiries, viewings, offers and completions are assembled from the records on the same day each week, so the meeting starts with the numbers rather than producing them.

Where the day goes

Somebody sees a listing at a quarter past nine on a Tuesday evening and asks for a viewing. They are not being difficult when they message two other agents the same night. They are moving house, and the first person to reply is the one who gets the appointment. By nine the next morning the enquiry is a day old and so is the answer.

The cost is rarely one large failure. It is the small gaps: a viewing nobody confirmed so nobody attended, a document requested by two people a week apart, a chain that stalled for four days because the update was sitting in one person's sent items. Each one is recoverable. Together they are why a deal that should take eight weeks takes fourteen.

Automation earns its place here by taking the steps that never needed an agent: replying, booking, confirming, chasing, telling people where things stand. What is left is the viewing, the negotiation and the relationship, which is the whole reason somebody chose a person over a portal.

Questions brokerages ask first

Do you need access to our CRM and our client data?
We work inside the accounts you already own rather than taking copies, and nothing of yours is exported onto our systems. What a build can read is scoped with you first, and you can revoke our access yourself at any point.
Will a machine be talking to our clients?
The first reply and the routine updates are automatic, and they say so rather than pretending to be an agent. Anything involving an offer, a negotiation or a judgment about a chain goes to the person who owns the deal, and what reaches a client is approved before it is sent.
Who on your side gets access?
Named members of our team, and only the ones your work requires. Access is protected by two factor authentication and credentials are held in a password manager rather than a spreadsheet or a message thread.
Are you SOC 2 or ISO 27001 certified?
No. We are a small team and claiming a certification we do not hold would be the first thing worth distrusting. The security page says exactly what we do and do not do, including the things we will not promise.
Do we have to move off the software we already use?
No. A system is wired to the CRM, the calendar and the portals you run today. Replacing a working tool is a separate decision with its own cost, and it is not one automation should force.
