Your onboarding pipeline
Ten clients, onboarded by hand, with no system in place.
Your client works through their own setup one step at a time.
It answers from their actual account, and escalates what it should not guess.
Every onboarding in one view, with the stuck ones already flagged.
You choose per client, and you can change your mind on the next one.
The client answers in their own portal, at their own pace.
Your team answers on their behalf, in one sitting.
Whatever they could not finish lands with you, with the context attached.
Nothing is outstanding. You approve it and it ships.
Everyone says they have a team. We will just show you the machine.

Everyone else charges per onboarding or per head, so their bill grows at the speed you grow. Ours was already built, so the twenty fifth client costs the same as the first.

Because a VA is a person doing the same manual work, and you now also own the hiring, the training, the oversight and the day they leave. On the model above, a part time onboarding coordinator plus the support cover around them runs about $2,300 a month, forever, and the process still lives in their head.
A system costs less, does not get sick, and does the tenth onboarding exactly like the first. Hire the VA afterwards if you want. They will just be running something that already works instead of being the thing that works.
A snapshot is a static copy of one configured sub account. It is genuinely useful and it is one piece of this.
What is missing from a snapshot is everything around it: getting the account created, getting the client's real details into it without retyping them, walking that client through DNS and A2P and Stripe, knowing when they are stuck, and handing over cleanly. A snapshot is the starting position. This is the process that gets every client to the end.
They rent you their people. Their team runs onboarding calls under your brand, and that works, but the process stays with them. What you paid for was their time, not something you keep.
We build the machine inside your HighLevel and brand it as yours. The snapshot, the automations, the SOPs and the configuration are in your account. If we part ways, that stays.
If what you actually want is a human on a Zoom call with every client forever, they are a better fit than we are, and we will say so.
A fair question to ask anyone you are about to give access to your CRM. The build lives in your account, not ours, and it is documented in SOPs written for your team rather than for us.
That is deliberate. The whole argument of this page is that a process should not depend on one person, and that has to include us.
We do all of it. You do not touch a workflow. We map your process on the teardown, build the system inside your GHL, test it against a dummy client end to end, and then walk your team through it.
What we need from you is access, a decision on scope, and about an hour of your time across the two weeks.
Yes. The teardown sorts what you have into three buckets: keep, replace, build from scratch.
We do not tear things down unless that is genuinely the faster path. Usually most of what you have survives and we seal the gaps around it.
Two weeks from approving the scope, and no open ended discovery phase. Support is faster because there is less to build, and it carries no setup fee at all.
The reason it is not longer is that the thinking happens on the teardown, before anything is invoiced. The build starts already knowing what it is building.
The setup fee pays for the build. The monthly pays for it to keep working. The automation runs on infrastructure we operate, the assistant costs money every time it answers a client, and HighLevel changes things that would otherwise quietly break your onboarding.
That is what the monthly covers. Not access to something you already paid for.
Nothing. It was $199 until recently and we stopped charging, because the teardown sells the build better than any sales call we could run.
You keep the map and the plan whether you hire us, hire someone else, or build it yourself. There is no version of this where you attend and leave with nothing.
No lock in on the monthly. Cancel whenever it stops being worth it.
Setup is one time and quoted as a fixed price before any work begins. Nothing is invoiced until you have approved the scope in writing.
We finish it. If the system cannot take one of your real clients from intake to live without your team stepping in, we keep working at no further cost until it can. There is no reduced scope version of that.
We would rather promise that than thirty days money back, which is what everyone else in this market offers. A refund hands back the fee and leaves you exactly where you started, still onboarding by hand. You did not come here for your money back, you came here to stop doing this.
What it does not cover is anything outside the system. If HighLevel breaks something on their side, or a client will not hand over their DNS records, we will help you get around it, but we cannot guarantee it away.
We would rather lose the sale than build something you did not need. If any of these are you, we will tell you on the call.
45 minutes, live, with your HighLevel open in front of us. We map your onboarding step by step, put a cost against every leak, and hand you the plan to fix it.
